Key Job Responsibilities
The primary responsibility of the Office Administrator is to perform a wide range of administrative and office support activities for CHAPA’s 14-person team in order to facilitate the efficient operation of the organization.
Specific Responsibilities
Office Administrative Oversight:
- Answer, manage and distribute phone calls
- Handle requests from the public for information
- Sort and distribute incoming mail and correspondence
- Receive and direct visitors
- General clerical duties including photocopying, filing and maintaining supplies
Membership and Database Management:
- Serve as CHAPA’s Database Manager and expert
- Manage CHAPA’s membership, including outreach, tracking, reporting and payment-related responsibilities
Information Technology:
- Serve as point person with CHAPA’s IT consultants on behalf of staff
- Work with IT consultants to recommend and set up system for conference room computer and hybrid meetings
- Manage shared-office schedule and other technology needs
Events & Meetings:
- Handle registration for forums, conferences and Annual Dinner
- Secure space and order food for forums and conferences
- Support A/V and teleconferencing needs for meetings, and maintain conference room calendar
Executive Team Support:
- Handle scheduling for CEO
- Assist with CEO’s administrative needs
Qualifications
The successful candidate will want to manage CHAPA’s operations and handle the organization’s administrative tasks. They should also have an interest in the substance of CHAPA’s work, including a sensitivity to the needs of people with low incomes.
In addition, we are looking for the following skills:
- ability to learn and manage a database
- strong computer skills and knowledge of relevant software, including all Office products
- strong organizational skills
- ability to work collaboratively, multi-task, and communicate well
- enjoy a bustling office environment and working with the public
- an Associate’s or Bachelor’s degree preferred but not required
Salary:
The salary range is $55-$60,000, commensurate with experience. CHAPA also provides a generous package of benefits including vacation and sick time, health insurance, short-term disability insurance, life insurance, and retirement benefits.
